Basic Memory user Cody runs an MSP, and he got tired of spending so much time tracking information that should be connected but lives in different places. Sure he could pull a report from one system and check it against the contents of another, then another. But why should he have to? What's the point of all this AI integration if the left hand still doesn't know what the right hand is doing?
We recently heard from Cody that Basic Memory was changing his workflows and buying him back time he'd already given up on.
It sounded so interesting that we asked him to put together a video of how he actually works now, so we could share it with others. He was kind enough to load up some sample data and do just that, demonstrating everything from how he uses Basic Memory for everything from documentation to warranty expirations and inventory tracking.
Check out how one MSP operator runs his business with Basic Memory as the foundation.

"If you've worked in IT for very long, you know keeping your documentation up to date is critically important, You also know it rarely happens as much as it should." - Cody
Cody's move was to quit treating documentation as a second job that happens after the real one.
In the walkthrough, a client informs him of a new hire. Cody gives his agent one instruction: get her set up with a laptop. The agent creates her record, pulls her details out of the email it was sent, finds a free MacBook Air in the client's inventory, assigns it to her, and updates the master list. Her record points to the laptop; the laptop carries its serial number, network details, installed software, and warranty date.
The work and the paperwork were one and the same.
The records are plain files he can open, read, and correct himself. When the agent gets a detail wrong, Cody fixes it, and the agent works from his correction the next time. He can see exactly what it knows, which is a lot more than most people can say about any AI project they're using.
The answers come the moment he asks, because his agent has been saving what matters into Basic Memory as it works, so information that used to be spread across separate tools now sits in one place he can search.
When he wants a different view of everything, he asks for one. In the walkthrough he has the agent build an inventory dashboard out of the same records: users and devices across his clients, filterable, warranty status at a glance.
That's Cody running his own shop. But for MSPs, that's only half the story.
He's now setting up Basic Memory inside his clients' businesses, where it reaches well past IT. One client had been running it for under a week when it surfaced $36,000 in unbilled sales. It was lost revenue that had been sitting unnoticed for months. What his clients are finding deserves its own telling. That story's coming in our next case study.
If you're running other companies' technology for a living, we should talk.
The Basic Memory Partner program is built for MSPs.
- Every client gets a private, isolated workspace. Their team and AI tools share it, and no client's information touches another's.
- Sign-in connects via SSO (including Google, Microsoft Entra, and others) so your clients use the identity they already have.
- You onboard clients yourself and manage them all from one place.
- Billing rolls up to you but stays attributable per client, so you can rebill cleanly.
- Access is customer-controlled and audited.
- It runs on MCP, so it connects to the tools and agents your clients already use.
